Article 1 General Provisions
Section 1 Purpose
ADOC International Co., Ltd. (hereinafter, “the Company”), recognizing the importance of personal information, established the following policy regarding the handling of personal information, and will comply with all laws and other regulations concerning the handling of personal information, implementing appropriate management and security.
Section 2 Training
Employees who engage in the handling of personal information will receive the necessary training.

Section 3 Collection of Personal Information
(1) When collecting personal information, the purposes of use will be clearly stated and the consent of the individual obtained.
(2) Personal information not related to the purposes of use is not collected.
(3) Collected personal information is not to be used except for the purposes of use.Section 4 Maintenance of Personal Information
(1)A personal information supervisor responsible will be established, and they will engage in appropriate supervision to prevent the leaking, etc., of personal information.
(2) Regarding personal information, in the event the individual associated with said information requests the disclosure, correction, or deletion of information, said information will be promptly disclosed, corrected, or deleted only when the identity of the individual has been confirmed based on objective facts such as the credentials of the requester, and the contents of the request coincide with the objective facts.
(3) Personal information will not be handled in a disadvantageous fashion due to a request to disclose, correct, or delete the personal information.
(4) Regarding handling involved with the disclosure, correction, or deletion of personal information, efforts will be made to notify the individual associated with said information.Section 4 Maintenance of Personal Information

・Personal information of business partners
(1) To communicate in connection with business and transactions.
(2) To process contract negotiations, signing, and fulfillment, as well as billing and payments related to contracts.
(3) To manage transactions and contracts.
(4) To provide, develop, and improve products and services.
(5) To provide information on products, services, campaigns, and seminars, etc.
(6) To respond to inquiries, requests, and consultations.
(7) To manage access to the workplace, and to manage the facilities and equipment of the Company and its affiliates.
(8) To comply with laws, ordinances, and other regulations, etc.
・Personal information of the Company’s shareholders
(1) To exercise rights and perform operations in accordance with the Companies Act.
(2) To create shareholder data and otherwise manage shareholders in accordance with laws and statutes.
・Personal information of job applicants, etc.
To consider and decide on hiring, to consider and decide on hiring requirements, to respond to inquiries, and for official communications.
・Personal information of former employees
Legal compliance and communication after retirement/resignation.Section 6 Handling of Specific Personal Information
(1) Regarding specific personal information*, the Company shall comply with the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures (hereinafter, “the Basic Resident Registration Act) and the Act on the Protection of Personal Information.
※Specific Personal Information: basic resident registration numbers (My Number) and personal information containing basic resident registration numbers
(2) The Company shall not provide the specific personal information of an individual to any third party except in cases stipulated by laws and statutes, etc. However, if any of the provisions stipulated in the Article 19 of the Basic Resident Registration Act (Restrictions on Provision of Specific Personal Information) apply, the Company may provide specific personal information.
(3) The Company may outsource the handling of specific personal information it has collected within the scope of the purposes of use as established by laws and statutes, etc.
(4) The Company shall take necessary and appropriate security measures regarding the security of specific personal information. When employees handle specific personal information, the Company shall perform necessary and appropriate supervision of said employees to ensure that security measures for specific personal information, etc., are carried out appropriately.
(5) The following purposes of use of the specific personal information obtained and stored by the Company are within the scope of affairs related to the basic resident registration as established by the Basic Resident Registration Act.
・Specific personal information of the Company’s business partners
Affairs related to legal records, including payment records for compensation, fees, contract deposits, and real estate rent, etc.
・Specific personal information of the Company’s shareholders
Affairs related to legal records, including payment records for dividends, etc.
・Specific personal information related to dependents of the Company’s employees
Creating statements of income for earned income and retirement income, unemployment insurance filings, health insurance and employee’s pension insurance filings, and claims based on the Industrial Accident Compensation Insurance Act.
・Specific personal information entrusted by business partners
Fulfillment of contracts with business partners in the Company’s business operations, etc.Section 7 Measures for Anonymized Information
(1) We have established appropriate security measures in response to the risks of various aspects of handling anonymized information, such as access control based on identification and authentication, prevention of unauthorized external access, and encryption during transfer/transport, etc.
(2) We have established management rules for anonymized information, including outsourcer management, instruct handlers regarding the usage rules, such as the prohibition of identification, and handle anonymized information appropriately.Section 8 Outsourcing
Personal information may be disclosed to external outsourcers within the scope of the purposes of use. In the event personal information is entrusted to an external party, a confidentiality agreement will be made, and supervision will be done to ensure proper handling by the outsourcer.
Section 9 Discarding of Personal Information
When personal information is discarded, it shall be discarded in such a way that it is not exposed to third parties. (Use of shredders for paper media, or erasure/destruction of electronic media.)
Section 10 Handling of Complaints and Consultation
Regarding personal information, in the event the individual associated with such information submits a complaint or consultation, the personal information supervisor will handle the matter appropriately in good faith.
